Tokyo 2020 Olympic Official Hospitality Packages provide official hospitality within the ticketed perimeter of venues hosting events during the Olympic Games Tokyo 2020. Tokyo 2020 has appointed a consortium of STH Japan, JTB, Sodexo as the global, exclusive provider of Production, Sales and Fulfilment services for this programme.

Sales/How to order

Customers may place an order for a Tokyo 2020 Olympic Official Hospitality Package (a “Hospitality Package”) on the Tokyo 2020 Official Hospitality Website, or directly through a STH sales representative or an official STH sales agent.

Customers can purchase up to twenty (20) Hospitality Packages for each session (meaning a period of time for which a single ticket to a cultural or sporting event has been issued including preliminaries, qualifying and final athletic competitions, the opening ceremony, closing ceremony, and potentially the medal ceremonies and other ceremonies; hereinafter each a “Session”). Please note that the above limitation on purchased quantities does not apply to customers who are Gold Partners or Official Partners of the Tokyo Organising Committee of the Olympic and Paralympic Games (“Tokyo 2020 Committee”), participants of “The Olympic Partners Programme” and Rights-Holding Broadcasters as nominated by the International Olympic Committee.

Sales prices

Sales prices for the Hospitality Packages (“Package Fees”) are set forth in a details page for each type of Hospitality Package on the Tokyo 2020 Official Hospitality Website, and sales prices may also be requested from the STH sales representatives through the contact details specified above, or from STH official sale agents separately designated by STH .

All payments shall be made in Japanese Yen, plus Japanese consumption taxes and local consumption taxes (“JCT”) and/or other applicable taxes, duties, charges or levies (if any) based on the laws applicable to the customer, by bank transfer to the bank account designated by STH or by such other payment method(s) acknowledged by STH (as detailed below).

Other payable expenses other than sales prices

In addition to the Package Fees, customers may be required to bear the following expenses. For more details, please check with your bank or Visa.

Payment expenses: Any charges payable by the customer’s bank or Visa

Currency conversion expenses: All invoices are in Japanese Yen and so the customer is responsible for all any currency conversion expenses charged by their bank when converting from a foreign currency into Japanese Yen

Further, based on the laws applicable to where the customers are located, other statutory taxes, duties, charges and or levies may become payable by the customers. For more details, please check with your local authorities.

Shipment

Provided the Package Fee and full amount of the applicable JCT has been paid, STH shall, at the issuance and shipment timing indicated in the next section, deliver the event documents (meaning any or all of the following: (a) presentation wallet; (b) itinerary; (c) Games Venue location map; and (d) Customer accreditation pass for access to the relevant Hospitality Area, and hereafter “Event Documents”) and tickets to the delivery address designated by the Customer at the time of the relevant Hospitality Package order or as notified by the Customer to STH in writing.

Issuance and Shipment timing

It is planned that the issuance and delivery of Event Documents and tickets will commence in or after spring of 2020. More details will be announced and communicated to Customers once they are determined.

Payment method and due date

Customers may place an order for and purchase a Hospitality Package on the Tokyo 2020 Official Hospitality Website, or directly through a STH sales representative or an official STH sales agent. Available payment methods and due dates will depend on the method of purchase, as follows:

(a) For purchases of Hospitality Packages directly with STH sales representatives or an official STH sales agent:

Purchases of Hospitality Packages directly with STH sales representative or through an official STH sales agent, without using the Tokyo 2020 Official Hospitality Website, may be made using the following payment methods:

(i) Visa payment

As the official payment technology sponsor of Tokyo 2020, Visa is the only payment brand accepted for the purchase of Hospitality Packages.

Upon payment by a credit card, settlement will be completed when a customer inputs the card information and it is approved by the credit card issuer. The billing date may vary depending on the credit card issuer.

Upon payment by a debit card, withdrawal will be made from the bank account when a customer inputs the card information and it is approved by the debit card issuer.

Upon payment by a prepaid card, deduction will be made from the deposit balance when a customer inputs the card information and it is approved by the prepaid card issuer.

(ii) Bank Transfer

Upon payment by bank transfer, settlement will be completed when a customer inputs or submits the relevant account information and it is approved by the handling bank.

(iii) Payment due dates

For purchases of Hospitality Packages directly with STH sales representative or through official STH sales agent, without using the Tokyo 2020 Official Hospitality Website, the following payment terms will apply, regardless of the payment methods:

– For purchases concluded (meaning when STH sent an official acceptance to the purchase order by a customer; same hereinafter) on or before August 31, 2019, the relevant price and JCT will be paid in two instalments by the following amounts:
(a) forty five per cent (45%) of the Package Fees and applicable JCT amount, within 30 days of the date the purchase is concluded;
(b) the remaining fifty five per cent (55%) of the Package Fees and applicable JCT amount, by 1 October 2019.

– For purchases concluded on or after 1 September 2019, the Customer shall immediately pay the full Package Fees and applicable JCT after the purchase is concluded.

(b) For purchases of Hospitality Packages through the Tokyo 2020 Official Hospitality Website:

Payment method: Purchases of Hospitality Packages through the Tokyo 2020 Official Hospitality Website may be made using visa payment only. The time of settlement and billing dates shall be the same as for (a)(i) above.

Payment dates: For purchases of Hospitality Packages through the Tokyo 2020 Official Hospitality Website, the Customer must complete the necessary payment instructions for the full amount of the Package Fee and applicable JCT amount at the time of placing the relevant order, and full settlement based on such payment instructions shall be made at the same time as the acceptance of the order by STH.

* Payment dates for other payable expenses
For more details regarding the payment dates of payment expenses and currency conversion expenses, please check with your bank or Visa.
Further, for more details regarding the payment dates any statutory taxes, duties, charges and or levies which became payable based on the laws applicable to where you are located, please check with your local authorities.

* Late Payments
In the event that the Customer’s payment is late with respect to the respective payment dates above, STH may claim damages from the Customer at the rate of 14.6% per annum (with 365 days in one (1) year) on any late amounts calculated from the date immediately following the relevant payment due date until full payment is completed; provided however, that the payment of such damages shall not prevent STH from claiming any other damages.

Cancellation, return and change

THE CUSTOMER MAY NOT CANCEL THE CUSTOMER AGREEMENT, OR RETURN OR CHANGE THE HOSPITALITY PACKAGE IN ANY EVENT, AFTER IT HAS BEEN ORDERED AND SUCH ORDER ACCEPTED BY STH, UNLESS OTHERWISE AGREED BY STH.

Re-issuance, replacement and refund

STH shall not reissue, replace or refund the Customer for any lost, stolen, damaged, destroyed or defaced tickets and event documents.

Refund, etc. due to Session schedule change or cancellation

Should a Session be moved ahead, delayed, suspended, cancelled, postponed or otherwise changed (including changes in time, date and place; the same applies hereafter) for any reason outside of STH’s control, the following provisions shall apply to the tickets and the hospitality element (meaning all those goods and/or services to be offered as part of the Hospitality Package (including without limitation catering, beverage and/or other hospitality services) but explicitly excluding the provision and use of the tickets; same hereinafter):

Use of tickets at moved ahead, delayed, cancelled, postponed or otherwise changed Session:

The ticket(s) shall be handled in accordance with clauses 37 and 38 of the Tokyo 2020 – Terms and Conditions of Ticket Purchase and Use (“Ticket Terms and Conditions”) at the determination of the Tokyo 2020 Committee. If a refund of the ticket(s) is allowed, STH shall provide the refund, in a separately provided manner, to the Customer who directly purchased the Hospitality Package from STH.

Provision of hospitality element at moved ahead, delayed, cancelled, postponed or otherwise changed Session:

STH shall in its sole discretion either:

(i) except where the Session was moved ahead, delayed, cancelled, postponed or otherwise changed due to a force majeure event, provide the hospitality element of the Hospitality Package in accordance with the original itinerary contained within the Event Documents; or
(ii) endeavour to arrange for the relevant hospitality element of the Hospitality Package to be provided at the moved ahead, delayed, cancelled, postponed or otherwise changed Session. If STH will provide (in its judgment) substantially equivalent hospitality element at the moved ahead, delayed, cancelled, postponed or otherwise changed Session, the Customer may not claim any refund and STH shall have no liability whatsoever to the Customer. If STH will not provide (in its judgment) substantially equivalent hospitality element at the moved ahead, delayed, cancelled, postponed or otherwise changed Session, then the Customer who directly purchased the Hospitality Package from STH may claim a refund, and in such case, the original value of the hospitality elements shall be calculated by deducting the face value of the relevant tickets from the total Package Fees plus applicable JCT of the Hospitality Packages subject to the refund. Notwithstanding the foregoing, STH shall be allowed to deduct an amount equal to any booking or operational expenses or other costs expended by STH prior to the date of cancellation (including, but not limited to, any commission paid to a relevant STH sales agent) from the amount to be refunded hereunder.

Refunds in the event of a cancelled Session:

(i) For the ticket(s), they shall be handled in accordance with clauses 37 and 39 of the Ticket Terms and Conditions, and STH shall provide a refund for the Ticket, in a separately provided manner, to the Customer who directly purchased the Hospitality Package from STH.

(ii) For the hospitality element, the Customer who directly purchased the Hospitality Package from STH shall be entitled to claim a refund from STH in respect of the hospitality element of the Hospitality Package, and in such case, the original value of the hospitality elements shall be calculated by deducting the face value of the relevant tickets from the total Package Fees plus applicable JCT of the Hospitality Packages subject to the refund. Notwithstanding the foregoing, STH shall be allowed to deduct an amount equal to any and all costs which it may have incurred prior to the date of cancellation which are not readily recoverable by STH (including, without limitation, any commission paid to the relevant STH sales agent) from the amount to be refunded hereunder.

Based on the customers’ consent, STH may deliver various types of information and announcements, including ticket information regarding Hospitality Packages, via e-mail sent from the following addresses:

STH will send important notices such as confirmations of purchases and Hospitality Package information from one of the above e-mail addresses. Customers are requested to make sure that their devices are configured to receive such e-mails.
